How do I sign up for Smartdata?

It’s simple! Click here to sign up. Enter in your firm’s details and get started today.

Can I add users under my account?

Yes, you can invite unlimited users in your firm to join your Smartdata.

How do I connect my CRM, and which CRMs do you work with?

We currently work with Wealthbox and Redtail, with Salesforce coming soon. When you log in to Smartdata, you will see the CRM icons at the top. Select your CRM. Enter your login credentials, and Smartdata will automatically connect to your CRM.

How do I send an invite to a prospect?

You can manually send an invite from Smartdata by selecting + Add Prospect (only a name and an email are required) and then Prospect category, SmartPortfolio or SmartTax. If you have linked your CRM you can tag your contact in your CRM with “smartdata” and we will automatically send the invite for you. Yes, magic.

How does a prospect connect their accounts?

SmartPortfolio: Once the prospect receives a Connect Portfolio invite, they click Connect to login into their brokerage account (user permission-based). Once the prospect has successfully connected their account, Smartdata will pull the data for you and notify you. Smartdata will never see your prospect’s login credentials. SmartPortfolio also has the option for a statement upload from the prospect or an office upload if your prospect brings in physical statements. Smartdata will pull all the information from the statement and send back into your Smartdata account within a few minutes after uploading.

SmartTax: The prospect receives a Connect Tax invite. Once they click Connect they are taken to the SmartTax digital IRS form. Once they enter their information, including their SSN, there is a Verify Me button for them to take a front and back picture of their Driver’s License and a selfie. We will verify their SSN and address for you. Once the KYC (Know Your Customer) is verified, your prospect will sign and click Submit. We will deliver the tax form to the IRS for you and your prospect’s tax information directly into your Smartdata account. A print, sign, and upload option is also available if the prospect is in your office or has trouble with the KYC workflow.

How will I know if a prospective client has connected their accounts?

You will receive an email when the prospect connects their account and when the portfolio data is ready to be reviewed. Your prospect will also receive a success email after connecting. If you have added a calendar link in your Settings, your prospect can click the link to book an appointment to review the information.

If your prospect has trouble or receives an error from their institution (rare, but it happens), they will receive an email with you bcc’d instructing them to upload a statement.

What do you do about security?

Security is our top priority at Smartdata. We use industry-leading data security and end-to-end encryption to protect your and your clients’ data. We are SOC2 and ISO approved, the highest security standards for a fintech company.

How do you get tax transcripts from the IRS?

We have created a digital streamlined and secure process for your prospect to fill out the IRS Form 8821. This form permits us to get your prospect’s tax transcripts. Once the form is filled out. Your prospect is required to “Verify Me” by entering their DOB and taking a picture of their Driver’s License or Passport. They will also take a selfie. Once we have those, we can verify their SSN and address before sending them to the IRS. We do all the KYC (Know Your Customer) for you. If there is a failure with Verify Me, your prospect will receive an email with you BCC’ed instructing them to print and sign the form. They will then upload the signed form through our secure link, and we will send it to the IRS for you.

It is rare, but your prospect may get a letter from the IRS saying they granted us permission to get their tax transcripts. Only a small percentage of prospects get the letter. If they have any questions after receiving the letter, please let your prospect know it’s normal and part of the process.

How do I create a QR code and link?

Under Link/QR Code in your Smartdata, you can view and copy your custom-branded QR code and link. You can use them on your marketing materials to attract more qualified prospects and scale your AUM.

How do I upload my advisor photo and the firm’s logo?

Under Settings, you can add your photo. However, the owner of your Smartdata can only add the firm’s logo. If you do not see a logo, make sure to have the owner of your Smartdata upload the firm’s logo.
